GEM$ User Access (SFS Grants)

Public School Districts (including charter school districts) and Educational Collaboratives will be automatically established in GEM$, however, must still assign required user roles.  Please confer with your district/organization's grants manager to determine what roles have been established to date. Please complete the form below if a User Access Administrator for your organization has not yet been established.

Other organizations will need to request to be established in GEM$ when applying for a grant for the first time.  Please complete the form below to establish your organization in GEM$ and assign required user roles.

4. To be completed by any organization that is not a public school district or educational collaborative. 

Please provide the following information so that DESE can establish your organization in GEM$.  Please note, if you have not received grant funding from DESE in recent years there will be additional paperwork required to set up your organization to receive a grant award.  This will not delay your ability to access GEM$ and apply for a grant.
5. User Access Administrator:

The “User Access Administrator” (Mandatory) has control over all users in their district/organization.  This role serves a function similarly to a district’s administrator for DESE’s Directory Administration (DA) (and may be the same person).  This role’s responsibilities include keeping records of all district/organization staff with designated roles in GEMS, which roles each holds, and de-activating access to GEMS within 24 hours of staff with a role(s) leaving employment with the district/organization or moving to a position where GEMS access is unnecessary.

Please provide the name and email address of the individual to be set up as a User Access Administrator for your district.

 
6. LEA Grantwriter:

The “LEA Grantwriter” (Mandatory) role will be designated for each grant. Multiple staff may be designated for this role for each grant, and each staff member may be given the role for multiple grants. The role is primarily responsible for completing the initial application, which will then be reviewed by the LEA Fiscal Representative.
