Which program is this Field Trip Notification for?
All meals served and claimed as part of the Child and Adult Care Food Program must be at approved sites. When meals are taken to feed children during a field trip, the sponsor must submit a notification to OSPI before the field trip occurs to be eligible to claim those meals.

The following criteria must be met for field trip meals to be reimbursable:
  • A notification must be submitted to OSPI before the field trip occurs.
  • All requirements of the meal pattern must be met for the field trip.
  • A separate meal count form must be maintained for the field trip.
  • If the planned meal taken on the field trip (i.e., sack lunch) differs from the meal served at the site, a separate menu must be kept.
All meals served and claimed as part of the Summer Food Service Program (SFSP) must be at approved sites served during approved dates and times. When meals are taken off-site to feed children during a field trip, the sponsor must submit a notification in advance to OSPI in order to claim those meals.

Note: For the purpose of the SFSP, a field trip is defined as an event in which a child leaves from and returns to the approved SFSP site on the same day. Meals served during overnight excursions are not reimbursable.

The following criteria must be met for field trip meals to be reimbursable:
  • The Field Trip Notifications must be received by OSPI no later than the day before the field trip date.
  • If a site is open to the community, the site must also remain open for the scheduled meal service, even if all the regularly attending children are going on the field trip.
  • All requirements of the meal pattern must be met for the field trip meal type.
  • A separate meal count form must be maintained for the field trip.
  • The person taking the field trip meal counts must be trained and training must be documented.
  • If the planned meal taken on the field trip (i.e., sack lunch) differs from the meal served at the site, a separate menu must be kept.
